Use this section to visually assign guests to tables and manage your event floor plan inside HelloFund.
TIP: Activate Table Seating before assigning any tables. Activating the tool removes existing manual table assignments and cannot be reversed.
Custom Layouts Upload your venue floor plan or use the blank canvas to arrange tables to match your real-life room setup. Set a table capacity to prevent over-assigning seats.
Drag and Drop Editing Assign guests to tables by dragging their name from the guest list on the right onto any table. To assign multiple guests at once, click each name to select the group, then drag them together. You can also search by last name or company name to quickly find a guest.
Fix an Incorrect Assignment Click any table to open its guest list. Use the Move icon to reassign a guest to a different table, or click the red X to remove them from the table.
TIP: You can search all fields by entering a company name or table host name to quickly filter your guest list.
Seating Stats The stats panel shows you in real time: total guests, assigned, unassigned, full tables, empty tables, and partially filled tables.
Permissions Required To manage seating from the Table Seating page, users need the Table Seating permission enabled. To manage seating from Manage Bidders, Butler, or Manage Guests, the corresponding permissions for those areas must also be enabled.
Frequently Asked Questions
What happens when I activate the Table Seating tool? Activating Table Seating removes all existing manual table assignments from your guest records. This cannot be undone. For best results, activate before you begin assigning any tables.
Can I assign multiple guests to a table at once? Yes. Click each guest name in the list to select the group, then drag them together onto the desired table.
How do I fix an incorrect table assignment? Click the table, find the guest, and use the Move icon to reassign them or the red X to remove them from the table.
Can I copy my seating layout to next year's event? Yes. When creating a new event, select the previous event to copy from and check Table Seating in the Ticket Pages step. The layout copies over but guest assignments do not.
Is Table Seating available on all HelloFund plans? Table Seating is available on the Auction Starter and higher packages.
What permissions are needed to manage table seating? Users need the Table Seating permission to access the seating page. Managing seating from Manage Bidders, Butler, or Manage Guests requires the corresponding permissions for those areas.
