Manage Guests and Assign Table Numbers

Use this section to learn how to manage guests, companies and update table numbers easily in HelloFund.

TIP: Before sending any messages (email or text) from HelloFund, gather as many names, email addresses, and mobile phone numbers as possible. While guest lists may change at the last minute, aiming for 80–90% completeness will help streamline event check-in and check-out.

Manage Guests
Event Tickets > Manage Guests
Use this section to manage guests. If table hosts or sponsors have not updated guest names, email addresses, or mobile phone numbers, it is recommended to go to Send Email Reminders to Table Hosts and Sponsors.

TIP: You can search all fields by entering a company name or table host name to help quickly filter your tables.

Company Name or Table Host Name

Add Table Numbers
Event Tickets > Manage Guests

 

  1. Search by company name or last name of table host​

    • (Ex. HelloFund or Sanger)​​

  2. Select checkbox on top-left checkbox to select all

  3. Scroll down to Batch Update

  4. Check box next to Table Name and enter the table number (Ex. 7) 

  5. Select Update to finish

Once table numbers are added, your Manage Guests screen will look like this:

Make Guests into Bidders

Make Guests into Bidders
Event Tickets > Manage Guests

 

  1. Under Bidder # Assigned, type No in the field below

  2. Select the Select All checkbox

  3. Scroll down to Batch Update

  4. Check the box next to Make Bidder

  5. Click Update to complete

Make Guests into Bidders

This will create bidder numbers for all selected guests.

Merge Guests or Merge Bidders

IMPORTANT - Before Merging Bidders

  • Update all guest information in Manage Guests

  • Make all guests bidders in Manage Guests

  • Once updates are complete, make all future changes in Bidders > Manage Bidders
     

Note: Do this right before messaging guests. We recommend sending messages 3–4 days before your event.

Merge Guests or Merge Bidders
Bidders > Merge Bidders

 

  1. Search by last name, table host name, or table number to find the couple

  2. Select the two checkboxes next to the bidders you want to merge

  3. Click the Merge button that appears

  4. Review the merged information carefully

  5. Select Confirm Merge to complete

    • ​Note: Merging bidders is permanent and cannot be undone.
